Microsoft Office 365 Productivity Tips: Queue-Tips

Microsoft Office 365 integrates all your Microsoft apps and services so that your business can grow collaboratively and seamlessly no matter where your employees are based. Microsoft 365, the cloud-based version of Office, combines best-in-class apps (Microsoft Word, Excel, PowerPoint, Publisher, Access, and Outlook) with device management, next-level security, and powerful cloud services. Here are a few tips to make the most of Office 365 and push your employees to use each program to its full potential.
Alert Me – SharePoint
Instead of spending way too much time reviewing files for updates, users can stay updated on changes by creating an alert. Users can choose to set up alerts for a file, list, folder, or library depending on their preferences. This helps with the accessibility of alterations made to the files across all of the team’s devices. Alerts can be set up by selecting either a library or a list and selecting Alert Me from the list of options. Then click on Set Alert on this Library or List from the dialog and select OK to save the changes. You can modify or cancel the alerts by selecting Manage My Alerts and selecting the alerts you wish to modify/delete.
IFS Logical Functions – Microsoft Excel
Eliminate the need for nested formulae in Microsoft Excel with the IFS Logical Functions. The IFS function checks whether one or more conditions are met and then returns a value that corresponds to the first True condition. IFS can take the place of multiple nested IF statements and is much easier to read with multiple conditions. The syntax for the IFS function is: =IFS([Something is True1, Value if True1,Something is True2,Value if True2,Something is True3,Value if True3).
Visualize data using Data Bars – Microsoft Excel
When Big Data is involved, the need for data visualization is amplified. That is when the Data Bars feature in Microsoft Excel comes in handy. With this feature, the user can ass bars to existing tables without having to add a graph. This can be done by selecting the data that needs to be visualized into a graph and then selecting Conditional Formatting in the Home bar and then choosing Data Bars. Users have a choice from either a Gradient Fill or a Colour Fill.
Recall a sent email- Microsoft Outlook
We have all sent emails only to realize the recipient is wrong or it was missing an attachment. The most searched tip of all time – “Can I recall an email sent through Outlook?” Yes! Outlook lets you recall a sent email before it’s viewed by the recipient. Incorrectly sent emails can be recalled by opening the email from the Sent Folder and selecting the Move option followed by Actions. Then click on Recall This Message. To permanently delete the email from the recipient’s inbox, select Delete Unread Copies of This Message. The user can also choose to quickly edit the message and resend it by selecting Delete Unread Copies and Replace with a New Message followed by the OK button.
Expiry links and password-protected files – Microsoft OneDrive
Sharing confidential information – the nightmare that it is can be simplified by choosing to add an expiry link to the file. This lets the user add a date and time to the link being shared making it invalid after the set period. Users can set up Expiry Links by selecting Link Settings followed by Add Expiry Date from the Share menu. Files containing sensitive information can be protected by generating a password for the link being shared. This will limit unwarranted access to the file as one needs both the link and password to open it. In order to add a password to files with sensitive information, choose Set Password from the Share menu and share it with the team along with the generated link.
Embed documents to a web page – Microsoft OneDrive
This lesser-known Office 365 tip for OneDrive Business lets users embed documents directly to either a website or a blog. Be it a Word document, slide deck, or spreadsheet, embedded files make for a dynamic and professional-looking layout. Users can embed any document by simply right clicking the box next to the name of the document and selecting Embed followed by Generate. This will generate an HTML code which can now be used to embed the documents onto a webpage.
